Step 5: Update a Consolidation

Updating a consolidation ensures that the data in the Consolidation Dossier remains up to date.

During this process:

  • Existing data is refreshed.

  • New General Ledger Accounts become available.

  • New Datasets can be added.

Any new accounts or datasets must then be mapped in the appropriate Report Structures.

Update Existing Import Sets

Go to:

Main Menu → Data → Manage and Organize → Import Sets

  1. Click Update for the desired Import Set.

This refreshes and updates the imported data.

When a new Dataset is created in an underlying dossier, such as a Forecast or Scenario, it must also be added consistently throughout the consolidation.

Important

* Ensure the **Dataset** has the **same name** in all entities. * Add the **Dataset** to the **Consolidation Dossier** as well. Without this step, the **Dataset** will not be included in the consolidation.

Import Import Sets for New Datasets

After creating a Consolidation Dossier, the Import Sets tab will be empty. The Import Sets must first be imported from the underlying entities.

  1. Select the fiscal year for which you want to import the Import Sets.

  2. Click Update All Import Sets for the Selected Year.

When all Import Sets are imported, only the Datasets that have been added to the Consolidation Dossier are imported.

Tip

Always verify that the Dataset names in the Consolidation Dossier exactly match the Dataset names in the underlying entities. Factview matches Datasets based on their names, so any differences will prevent them from being included in the consolidation.

Warning

If there are Datasets in the underlying entities that have not been added to the Consolidation Dossier, they will not be imported. Add the missing Dataset names to the Consolidation Dossier and repeat the steps above. The new Datasets will then be imported as well.

Follow these steps:

  1. Go to Main Menu → Data → Manage and Organize → Import Sets.

  2. Remove any Import Sets that are empty or no longer applicable by clicking the X.

If transactions are added to these Datasets at a later stage, repeat these steps.

  1. Update the Import Sets for the relevant fiscal years (for example, 2025 and 2026).

  2. Select Update All Import Sets for 2025.

Working with Datasets in a Consolidation

Datasets are commonly used for:

  • Planning

  • Forecasting

  • Scenario comparisons

To ensure they work correctly:

  • Always create new Datasets in all underlying dossiers.

  • Add the same Datasets to the Consolidation Dossier.

Only then will the data be included correctly, allowing you to compare Datasets within the consolidation.
