Consolidation Step 6: Maintenance

In this step, the Consolidation Dossier is maintained and reviewed on a regular basis.

Proper maintenance ensures that reports remain reliable and that new financial data is processed correctly.

Periodic Consolidation Maintenance

It is recommended to review and update the consolidation regularly, for example on a monthly basis or at the end of each reporting period.

Perform the following checks:

  • Update all Import Sets.

  • Check whether new General Ledger Accounts have been added.

  • Verify that all accounts are mapped correctly.

  • Review reports for inconsistencies or errors.

Check for New General Ledger Accounts

New accounts may be created as a result of:

  • Changes in the financial administration.

  • New transactions posted to previously empty accounts.

Go to:

Main Menu → Consolidation → General Ledger Settings

  1. Check for unmapped (black) accounts.

  2. Manually map these accounts to the appropriate group in the Report Structure.

Manage Report Structures

Report Structures should be managed centrally within the Consolidation Dossier.

When changes are made:

  • Update the Report Structure in the consolidation.

  • Verify that the mapping is still correct.

  • Apply the updated structure to all underlying entities.

Manage Datasets

When using new Datasets, such as Forecasts or Scenarios:

  • Ensure the Dataset exists in all underlying entities.

  • Add the same Dataset to the Consolidation Dossier.

  • Update the Import Sets.

This prevents Datasets from being missing in reports.

Check Elimination Entries

Review the following on a regular basis:

  • Verify that elimination entries are still correct.

  • Check that newly added entities are included in the eliminations.

  • Confirm that the reported amounts reconcile correctly.

If the organizational structure or participating entities change, the elimination entries may need to be updated.

Modify the Consolidation

The consolidation can be adjusted whenever necessary. For example, you can:

  • Add or remove companies.

  • Split or merge General Ledger Accounts.

  • Update the mapping.

  • Extend the Report Structures.

After making changes:

  • Update the Import Sets.

  • Review the reports again.

Verify the Reports

Complete each maintenance cycle by checking the reports.

Confirm that:

  • The totals are correct.

  • The Balance Sheet and Profit and Loss Statement reconcile correctly.

  • There are no unexpected differences.

Regular reviews help prevent errors from accumulating over multiple reporting periods.
