Mapping General Ledger Accounts

When you import an audit file for the first time or connect an accounting system, the general ledger accounts must be linked to Factview's standard report structure.

This process is called mapping.

The general ledger accounts from the accounting system are assigned to the standard report structure used by Factview. This is typically a one-time task, although the mapping can be modified at any time.

Mapping is performed by dragging one or more general ledger accounts to the appropriate reporting categories within the report structure.

Open the Mapping Screen

To open the mapping screen, navigate to:

Data → Manage and Organize → Structure Mapping

Here you can link your general ledger accounts to the report structure.

There is a good chance that some general ledger accounts have not yet been mapped to the Standard Structure.

Click Place Accounts Automatically in the Structure in the red notification on the right side of the screen.

Then return to Structure Mapping.

Tip

If accounts do not yet contain any transactions, you can automatically place them in the **!NM (Do Not Map)** category first. This helps keep the report structure organized. To do this, click **Move Accounts Without Transactions to !NM (Do Not Map)** in the lower-left corner of the **Structure** panel.

Overview of the Mapping Screen

The Mapping screen consists of several sections.

Tip

When dragging an account to the report structure, you must drop one or more selected accounts **directly onto the name of the target group**. When an account is placed correctly, a **green check mark** is displayed. If you release the account outside the correct group, it is automatically placed in the parent **F Group**. It is important to expand the entire report structure and check whether any accounts have been placed in an **F Group**. These accounts should then be dragged again into the correct group. If you want to move an account back to the account list (the middle panel), you must drop it directly onto the **Accounts to Be Mapped** folder.

1. Report Structures

This panel displays all available Report Structures.

A Report Structure determines how general ledger accounts are grouped in reports, for example:

  • Profit and Loss Structure

  • Balance Sheet Structure

Selecting a Report Structure loads it into the Structure panel on the right side of the screen.

2. Structure Panel (Navigation)

The Structure panel provides tools for navigating through the report structure.

Available options:

  • Expand All Groups – Expands every section of the structure.

  • Expand Main Groups – Displays only the main categories.

  • Expand More Detail – Shows additional levels within the structure.

  • Collapse All Groups – Collapses the entire structure.

These options make it easier to work with large report structures.

3. Account Panel

This panel allows you to filter general ledger accounts.

Available filters:

  • Profit & Loss – Displays only profit and loss accounts.

  • Balance Sheet – Displays only balance sheet accounts.

  • Accounts to Be Mapped – Displays accounts that have not yet been mapped.

Use the Filter Accounts search box to find a specific account.

Additional filters:

  • With Transactions – Displays only accounts that contain transactions.

  • Without Transactions – Displays only accounts without transactions.

You can also filter by balance:

  • > 0 – Accounts with a balance greater than zero.

  • < 0 – Accounts with a balance less than zero.

  • = 0 – Accounts with a zero balance.

4. Mapping Status

This section indicates whether all accounts have been mapped to the selected Report Structure.

When the message "All accounts are mapped" is displayed, all accounts have been linked successfully.

5. Actual Balance

This section displays the balance of the selected structure or account for the chosen period.

It provides a quick way to verify that amounts are correctly included in the Report Structure.

6. Transactions for the Selected Account

When you select an account, this panel displays its transactions.

If no transactions are available, the following message is shown:

"No figures found for this account."

7. Structure Panel (Report Structure)

The right side of the screen displays the complete Report Structure as a tree view.

Here you can see:

  • The hierarchy of the Report Structure.

  • The categories within the structure.

  • The linked general ledger accounts.

Accounts are mapped to the appropriate categories so they are displayed correctly in reports.

When an account is shown in green, it indicates that financial data has been found for that account.

To map an account, drag it to the appropriate category in the Structure panel.

Additional Functions

The Structure section includes several additional functions for managing the report structure.

Resize Panels

Drag the divider between the panels to adjust their size.

Export Mapping

Exports an overview of all account mappings to an Excel file.

Mapping Table

Displays an overview of all general ledger accounts and the categories to which they are mapped.

Show Balance For

Select the period for which the balance should be displayed.

Move Accounts Without Transactions to !NM

Automatically moves all accounts without transactions to the !NM (Do Not Map) category.

After Mapping

Once all accounts have been mapped, the Dossier is ready for further analysis.
