Creating a Plan

Once the basic planning information has been completed, you can create a plan. This may be a budget, financial plan, or forecast, with monthly amounts entered at the General Ledger Account level.

In most cases, you will enter revenue and expense amounts. Factview automatically processes this information into:

  • The Profit and Loss Statement

  • The Balance Sheet

  • The Cash Flow Statement

How the Planning Module Works

The Planning Module is based on planning items, where amounts are entered for each reporting period.

The entered amounts are processed directly into the Profit and Loss Statement.

When additional properties are entered, such as:

  • Accounts Receivable payment terms

  • VAT rate

  • Payment terms

Factview automatically calculates:

  • Balance Sheet positions (such as Accounts Receivable and Accounts Payable)

  • Cash Flows

  • Cash Position

Without these properties, the plan is limited to a Profit and Loss Statement budget.

Two Types of Calculations

The Planning Module distinguishes between two types of calculations:

Automatic Calculations

Based on the entered amounts and additional properties, Factview automatically calculates the Balance Sheet and Cash Flow Statement.

Roll-Forward Planning

Existing Balance Sheet items, such as Accounts Receivable and Loans, are carried forward into future periods.

Together, these calculations create a complete financial forecast.

Entering Amounts Manually

You can manually enter planning amounts via:

Main Menu → Planning

Within these tabs, planning items are entered for different categories, such as Revenue or Expenses.

Planning Item Layout

A planning item consists of:

  • Top left: General Ledger Account and name.

  • Center: Properties, such as VAT rate and payment terms.

  • Right: Notes and user information.

  • Bottom: Amount entry fields (green row).

The blue rows display the calculated totals.

Entering Amounts for a Full Year

By selecting the appropriate reporting period, you determine:

  • Up to which month Actuals are used.

  • From which month the planning data becomes active.

When the reporting period is set to Opening Balance, amounts can be entered for the entire year.

Free Planning

Free Planning

The Free Planning tab is used for:

  • Special journal entries

  • Adjustments

  • Non-standard transactions

This allows you to manually create future journal entries.

Combining Actuals and Planning

A plan can consist of a combination of:

  • Actuals

  • Budget figures

Step 1: Update the Basic Information

Verify that the correct Import Set is selected.

  • Update the basic planning information.

  • Update the Actuals.

Step 2: Select the Reporting Period

The selected reporting period determines:

  • Up to which month Actuals are used.

  • From which month the planning data is applied.

Result of the Combined Data

Result of the Combined Data

In the overview:

  • Red: Actuals (no longer recalculated)

  • Green: Planning data (active)

  • Blue: Actual figures

Factview combines this information into a complete financial forecast.

Summary

Creating a plan in Factview consists of:

  • Entering planning amounts

  • Adding additional properties (optional)

  • Combining the plan with Actuals

  • Calculating the forecast

The result is a fully calculated financial projection.
